Batch Tracking lets you manage multiple batches or lots of the same product, each with its own quantity, expiry date, supplier, and lot number. It is built for stores that receive stock in batches rather than one expiry date per product, such as food, supplements, or anything bought from a supplier in dated lots.
Go to Product Expiry → Batch Tracking to open it. This is part of Product Expiry Pro.
Adding a batch
- On the Batch Tracking page, click Add Batch.
- Search for and select the Product this batch belongs to.
- Enter the Lot Number and Supplier for this batch.
- Enter the Quantity received in this batch.
- Set the Expiry Date for this batch.
- Click Save Batch.
You can add as many batches as you need for the same product. Each one is tracked separately, so a product can have several active batches at once, each expiring on its own date.
Batch fields
Product
The product or variation this batch belongs to. A single product can have multiple batches listed against it.
Lot Number
The lot or batch identifier, usually taken from the supplier’s packaging or invoice. This is what you search by during a recall lookup, so it is worth entering exactly as printed.
Supplier
The supplier this batch came from. Useful for filtering batches when you need to check everything received from one source.
Quantity
How many units are in this batch. This is tracked separately from the product’s overall WooCommerce stock figure, so you can see how much of a specific batch remains.
Expiry Date
The expiry date for this specific batch, independent of any expiry date set on the product or variation itself.
Editing and deleting a batch
Find the batch in the list and click Edit to update its quantity, expiry date, supplier, or lot number, or click Delete to remove it entirely. Deleting a batch removes it from the list and from any FEFO ordering or recall results, so use it once a batch is fully sold through or no longer relevant.
FEFO listing
Batches are listed FEFO, short for first expired, first out. The batch closest to its expiry date always appears at the top of the list for a product, so you know at a glance which stock to sell or use first.
Filtering by supplier or lot
Use the Supplier and Lot filters at the top of the Batch Tracking page to narrow the list down to one supplier or one specific lot number. This is useful when you need to check exactly how much stock you have from one delivery or one source.
Recall lookup
If a batch needs to be recalled, the recall lookup finds every order that contains it.
- Go to the Recall Lookup section of the Batch Tracking page.
- Enter the Lot Number you need to search for.
- Click Search.
The results show every order that included a product from that batch, so you can contact the affected customers directly rather than guessing who might have bought it.
Note: Batch Tracking runs alongside the expiry date set on the product or variation itself. If you sell in batches, use Batch Tracking to manage quantity and lot level expiry, and use the product’s own Expiry Date and Action if you also want the product page to automatically draft, go out of stock, or show as expired.
